JOB DESCRIPTION: OFFICE ADMINISTRATOR AND SUPPORT
Rowheels, Inc. is seeking a full-time Administrator of the Office & support team activities to join our growing operations located in Middleton, WI. This entry-level employee will wear many hats while supporting the Company’s daily administrative, customer service, sales/marketing, support shipping and engineering team support activities. Qualified candidates will have excellent multi-tasking skills, exceptional attention to the details and general business expertise to fulfill key responsibilities including but not limited to:
Administrative Support of the Office Customer Service Support
Ensure that all executives, managers and staff receive support with assigned projects, tasks and processes
Complete daily data entry and filing of key contracts
Facilitate shipping operations and documentation
Take Customer support calls and coordinate service topics internally.
Contribute and document internal and external customer service processes.
Plan and manage corporate events, support tasks for external meetings and board meetings.
Book and manage all company-related travel
Maintain calendars and executive support to CEO
Fulfill receptionist duties as the “front door” of the company
Maintain physical office and spaces to ensure a professional, brand-appropriate appearance
Stock all office supplies, snacks, beverages and miscellaneous
Assist with staff expansion and workstation set-ups
Coordinate implementation and maintenance of phone systems, office systems and computer-related operations
Maintain CRM and Excel records for the client sales pipeline
Support high-volume retail customer activity including by phone, email, fax and the onsite retail store
Create memos, agendas, general correspondence, visual presentations and data reporting as requested
Assist with revenue billing, customer management and accounts receivable
Assist with corporate expense reporting, vendor management and accounts payable
Assist with inventory management, procurement and periodic physical inventory counts
Knowledge, Skills, Abilities and Achievements:
Minimum 2 years of general office management and administrative support
High School Diploma (or equivalent); Associate’s or Bachelor’s degree; or equivalent work experience.
Self-starter; Ability to work independently without supervision
Flexible and eager to learn new things in a fast-paced environment.
Service-oriented, Task-oriented, Strong attention to the details.
Effective interpersonal customer service skills; Excellent written and verbal skills.
Computer proficiency; Skilled in Microsoft Office (Outlook, Excel, Word, PowerPoint), and the Google Suite.
Detailed knowledge of ZOHO and/or other CRM, and/or database management experience is helpful.
General knowledge of manufacturing ERP and general ledger accounting software modules is helpful.
Ability to work with proprietary and confidential data using the utmost professional discretion is required.
